The Property screen describes what you sell: the property itself (contact details, times, registration, taxes, children and policies), its room types with photos, amenities and guest limits, and the units – the real rooms, apartments or villas – that guests book.

How properties, room types and units fit together

  • Property: your hotel, villa complex or apartment building. It holds the address, contact details, check-in and check-out times, registration number, taxes and policies. Most owners have one; agencies and owners of several buildings can have many.
  • Room type: a kind of room you sell, with its own page on your website, photos, description, amenities and guest limits. Prices are set per room type (and per rate plan).
  • Unit: one physical room, apartment or villa of that type. Availability is counted in units: a room type with five units can be booked five times for the same night. Calendar sync with Booking.com and Airbnb happens per unit.
  • Rate plan: a way of selling a room type, with its own cancellation policy, deposit and meals (for example Flexible and Non-refundable). Rate plans are listed on the Property screen but explained in Rates and availability.

Rule of thumb: rooms that look the same and cost the same are one room type with several units. Rooms that guests should choose between (sea view or garden view, one bedroom or two) are separate room types.

The Property screen

Open Property in the top menu. The screen has two parts:

  • Properties: a list with each property’s name, address and a summary of its taxes (for example ΤΑΚΚ: Short-term rental · VAT 13%, or No taxes configured). Edit opens the property; + Add property adds another.
  • Room types: one card per room type, with its main photo, a summary line (Up to 2 adults + 1 child · 3 active units · 35 m² · 12 photos), its Units on the left and its Rate plans on the right. + Add room type is at the top right.

With several properties, the property switcher at the top of the dashboard filters the room type cards to one property.

Property: Details

Click + Add property (or Edit next to an existing one). A panel opens on the right with the tabs Details, Photos, Taxes & fees, Children and Policies (plus Invoicing while the Receipts & invoices module is on). Changes on every tab are saved together when you click Save.

The property panel on the Details tab with contact, address, check-in times and registration fields
Property → Edit → Details.
Field What it does
Property name Required. Shown to guests in e-mails, on the booking page and on the property’s own page.
Phone, E-mail How guests reach you. Shown in e-mails and offered to guests when a rate cannot be paid online (instead of the Reserve button). Write the phone with the country code, e.g. +30 2841 012345.
Address, City / area, Country Used in e-mails and on the property page. The country also decides which country pack is relevant in Settings → Modules; for a Greek property write Greece (or GR).
Check-in from The earliest arrival time. Shown to guests everywhere times appear.
Check-in until The latest arrival. Guests choose their arrival time up to this hour, or say they arrive later. No limit leaves it open.
Check-out until The latest departure time.
Registration type The short-term rental or tourism registration scheme of your country. The choices are grouped by country: Greece (ΑΜΑ, ΜΗΤΕ), Italy (CIN), Spain (NRUA, regional tourist registration number), Portugal (RNAL), France (numéro d’enregistrement), the Netherlands (registratienummer), Germany / Austria (Registriernummer), and Other (registration number, other licence). The abbreviation is what guests and platforms see in front of the number.
Registration number Required for short-term rentals in most EU countries. Shown on your website, in e-mails and in the calendar feeds platforms read. When each unit has its own number (a Greek ΑΜΑ or an Italian CIN per apartment), leave this empty or put the main one here, and enter each unit’s number under Units.
Latitude, Longitude The property’s exact position, for example 35.5138 and 24.0180. Used for the Google Maps link in e-mails and for the location search engines read from your pages. Without them the map link uses the address. Find them by right-clicking your property in Google Maps.
Short description A sentence or two about the property, for cards and search engines.

Once the property is saved, a link Design the property page with Elementor / the WordPress editor → appears under the fields. The property’s public page is a normal WordPress page, so you design it like any other.

Property: Photos

  • Main photo: Choose main photo opens the Media library; pick one image. Replace main photo changes it; the × removes it.
  • Gallery: + Add photos lets you select several images at once. Use the arrows on each photo to change the order and × to remove it from the gallery (the image stays in your Media library).

Tip: upload photos at least 1600 px wide. WordPress makes the smaller sizes the widgets use.

Property: Taxes & fees Pro

This tab sets the taxes and fees added to every booking of the property. They are calculated and shown to guests by the Tourist taxes module, which is part of Pro. Without it, what you set here is kept, but guests pay the room price without these taxes and fees; the tab says so at the top (Tourist taxes are a JetBookIn Pro feature or Tourist taxes are turned off).

The Taxes and fees tab with the ΤΑΚΚ, VAT, municipal levy and other fees sections
Property → Taxes & fees for a Greek apartment.

Important: a new property starts with the tax settings of your first property. Your very first property starts with the ΤΑΚΚ switched on (category Hotel 3 stars). If your property is not in Greece, switch the ΤΑΚΚ off here before taking bookings.

Climate crisis resilience fee (ΤΑΚΚ)

The Greek fee that replaced the overnight stay tax (φόρος διαμονής). It is charged per room or property per night, is not subject to VAT, is collected from the guest and paid to AADE.

  • How guests pay it: In the online price (default: added to the price the guest pays online) or At the property on arrival (guests see the fee for their stay as a separate line in the rates, at checkout, on their booking page and in e-mails, marked Not included in the total: paid at the property on arrival; it is not part of the online price, deposit or balance).
  • Accommodation category: sets the official amounts per room per night (Law 5162/2024):
    Category High season Low season
    Hotel 1–2 stars €2.00 €0.50
    Hotel 3 stars €5.00 €1.50
    Hotel 4 stars €10.00 €3.00
    Hotel 5 stars €15.00 €4.00
    Rooms / apartments to let €2.00 €0.50
    Short-term rental €8.00 €2.00
    Short-term rental – detached house over 80 m² €15.00 €4.00
    Tourist furnished villa / residence €15.00 €4.00
Custom amounts You type both amounts yourself.
  • High season (per night), Low season (per night): filled in by the category (and locked) unless you choose Custom amounts.
  • High season from (MM-DD) and until (MM-DD): 04-01 to 10-31 by default (1 April to 31 October).

A room type can use a different category than its property, for example a detached villa over 80 m² inside a hotel: see Climate resilience fee category on the room type. Confirm the amounts with your accountant. More in Greece.

VAT (ΦΠΑ)

Off by default. Professional accommodation in Greece charges 13%; private short-term rental hosts usually charge no VAT.

  • VAT rate %: 13 by default.
  • Prices I enter…: already include VAT (default: guests pay the price you set, with Incl. VAT 13% shown inside it) or are without VAT (VAT is added).
  • Also apply VAT to extra-guest and cleaning fees: on by default.

Municipal accommodation levy (δημοτικό τέλος)

Off by default. A percentage of the room price without VAT, usually 0.5% where the municipality applies it.

  • Rate %: 0.5 by default.
  • Your room prices: Add it on top of the room price (default) or Include it (the total stays the same). Choose “include” when your prices already contain the fee, as Booking.com shows them: the guest pays the same total and sees Incl. municipal levy 0.5% inside it.

Other fees & taxes

Fees added to every booking of this property: linen, a pet fee, a resort fee, or another country’s tourist tax. Click + Add fee for each one (up to 20):

  • Name shown to guests, for example City tax or Linen. A fee without a name is not saved.
  • Amount and Type: a fixed amount in your currency, or % of room price.
  • Charged (fixed amounts only): per stay, per night, per person per night or per person per stay.
  • VAT (only while VAT is on): tick it if VAT applies to this fee.

Example: an Italian city tax of €2 per person per night is a fee named Imposta di soggiorno, amount 2, type €, charged per person per night.

Tip: a cleaning fee belongs to the room type (Guests & fees), not here, because it usually differs between a studio and a villa.

Property: Children

Age bands decide how children are charged per night. Guests enter each child’s age when they search, and the price follows these bands. Older children not covered by any band pay the room type’s Extra child per night fee.

  1. Click + Add age band. The first band starts as Up to age 2 · free.
  2. For each band set Up to age (0–17) and the charge: free, % of the extra-adult fee, or a fixed amount per night.
  3. Add more bands for older children. Bands are sorted by age; a child falls in the first band their age fits.

Example: Up to age 2 · free, Up to age 11 · 50 % of the extra-adult fee. With an extra adult fee of €30, a 1-year-old stays free, a 7-year-old costs €15 per night and a 14-year-old pays the room type’s extra child fee.

Important: children are charged from the first child, whatever the room’s Guests included in price (that number counts adults only). If children of all ages stay free in your rooms, add one band Up to age 17 · free, or leave the room’s extra child fee at 0.

Property: Policies and check-in instructions

  • House rules & policies shown to guests: pets, smoking, parties, quiet hours, deposit for damages… Shown to guests on your site and in their booking. There is no need to repeat check-in and check-out times: they come from the Details tab. If your text mentions times that differ from those fields (say check-out 11:00 while the field says 12:00), an amber warning tells you, because guests would see both.
  • Check-in instructions: how to get in, keys or lockbox, Wi-Fi, parking. Sent to guests before arrival by the Check-in instructions e-mail (timing in Settings → E-mails → Timing) and ready to send on WhatsApp from each booking and from today’s arrivals. Room types and single units can add their own lines, see below. See also E-mails.
  • Check-in video link: a link to a short video showing the way in. Upload it to YouTube as Unlisted (only people with the link can see it) or to your Media library, and paste the link. It is sent with the check-in message as Watch how to get in; WhatsApp shows a preview.

Room types

Click + Add room type. The panel has four tabs: Details, Photos, Amenities and Guests & fees. When you save a new room type, JetBookIn creates it with one unit (named after the room type, e.g. Sea View Suite #1) and a Standard rate, so you can put prices on it straight away.

Details

Field What it does
Name Required, e.g. Deluxe Sea View Suite. Shown everywhere guests see the room.
Property The property this room type belongs to (with several properties). Taxes, children’s bands, times and policies come from it.
Visibility Published or Draft (hidden from website). A draft is not offered to guests; use it while you prepare a new room. The card shows a Draft badge.
Size (m²) Shown in the room’s specifications.
Beds Free text, e.g. 1 double bed + 1 sofa bed.
Link to page (optional) Send guests to your own page for this room (for example one built with Elementor) instead of the default room page. Search results and links then open your page.
Short description (cards and search results) One or two sentences shown on room cards and in search results.
Full description The room’s full text, shown on the room page.

After saving, Design the room page with Elementor / the WordPress editor → opens the room’s page in the editor. Room pages live at /room/room-name/.

Photos

The same as the property’s: a Main photo (used on cards, in search results and in e-mails) and a Gallery you can order. The Room Gallery widget shows the main photo first and then the gallery; it can be set to show the gallery only (see Shortcodes and widgets).

Amenities

Click the amenities the room has. They are grouped as General (Free Wi-Fi, Air conditioning, Heating, TV, Workspace, Safe), Kitchen & laundry, Bathroom, Outdoor & view (Sea view, Balcony, Private pool, BBQ…) and Services (Free parking, Pets allowed, Baby cot on request, Wheelchair accessible…). Each preset has its own icon on your site. For anything else type it under Other (e.g. Espresso machine) and click Add. Search results show the first five amenities; the room page shows them all.

Room type: Guests & fees and stay rules

The room type panel on the Guests and fees tab with occupancy, extra guest fees, fewer-guest discounts and stay rules
Room type → Guests & fees.
Field Default What it does
Guests included in price 2 How many adults the nightly price is for. Each adult above it pays the extra adult fee.
Max adults 2 The most adults the room takes.
Max children 0 The most children. 0 means children cannot book this room: raise it if families are welcome.
Max total guests 0 A cap on adults and children together, e.g. 4 for a room with 4 beds that takes up to 4 adults or up to 2 children. 0 = only the adult and children limits apply.
Extra adult per night empty Charged per night for each adult above the guests included in the price.
Extra child per night empty Charged per night for each child, unless the property’s age bands cover the child’s age.
Cleaning fee per stay empty Added once to every booking of this room.

Too many guests for one room? Guests searching for more people than one room takes are offered the same rate in several rooms of that type, with the guests split between them (Your group in 2 rooms).

Price for fewer guests

Shown when Guests included in price is 2 or more. Your prices are for that many adults; fewer adults can pay less each night. Choose Discount as Percent of the night’s price or Amount per night, then fill in a line per number of adults, e.g. 1 adult: less per night = 15. Leave a line empty for the full price.

Check-in instructions for this room type

Check-in instructions for this room type are added after the property’s, e.g. this apartment’s door or lockbox code. Check-in video link for this room type replaces the property’s video for guests of this room type.

Stay rules

  • Preparation days between stays: days kept free after each departure for cleaning or maintenance. They are also blocked in the calendar feeds platforms read. Leave empty or 0 for same-day changeovers.
  • Arrival allowed on and Departure allowed on: click weekdays to allow arrivals or departures only on those days, e.g. Saturday-to-Saturday villas. With no day selected the field says (any day). For changes on specific dates, use closed to arrival / departure in the rates grid instead.
  • Climate resilience fee category (ΤΑΚΚ): Same as property by default. Choose another category only if this room type differs from the property, e.g. a detached villa over 80 m² in a complex of apartments to let.

Units

The Units table on each room type card lists the physical rooms you sell. Calendar sync happens per unit.

A room type card with its units table on the left and its rate plans on the right
A room type card: units with their registration numbers and actions, rate plans on the right.
  • + Add unit adds a unit named after the room type with the next number (Sea View Suite #2).
  • Rename: click the unit’s name, type the new one (e.g. Room 204 or Apartment Elia) and press Enter. Escape cancels. Guests see this name in the check-in message (Your room: …).
  • Registration number: the field next to the name, labelled with your property’s scheme (e.g. ΑΜΑ (optional)). Fill it when each unit is registered on its own; it then replaces the property’s number for that unit (for example in its calendar feed). Saved when you leave the field.
  • Deactivate / Activate: an inactive unit is shown greyed out and is no longer counted as available, so you sell one room fewer. Use it for a room under renovation or one you take off the market for a season. Its bookings and settings stay.
  • Copy iCal: copies the unit’s export link, the address you paste into Booking.com, Airbnb or Google Calendar so they see this unit’s bookings. See Calendar sync.
  • Check-in: opens this unit’s own check-in panel (a ✓ shows when it has content): Check-in instructions for … (only this room’s lines, e.g. its door code or floor) and a Check-in video link. Both save when you leave the field.
  • Delete: see Deleting things safely.

Tip: to sell fewer rooms than you have only on some dates (e.g. hold two rooms back for a group), do not deactivate units: set Rooms to sell for those dates in Rates & Availability.

How check-in instructions and videos combine

The check-in message is built from three layers, each added after the previous one:

  1. the property’s Check-in instructions (Policies tab): the address, parking, Wi-Fi, how reception works;
  2. the room type’s lines (Guests & fees tab): e.g. The apartment is on the first floor, the lockbox is by the door;
  3. the unit’s lines (Units → Check-in): e.g. Your code is 4721.

For the video, the most specific one wins: the unit’s, else the room type’s, else the property’s.

Multilingual sites (Polylang, WPML)

With Polylang or WPML, properties and room types are translated like any other WordPress content: in the WordPress editor, with your multilingual plugin’s language controls. The dashboard always lists and edits the original (default-language) version; availability, prices and bookings belong to it, and guests on a translated page see the translation.

  • Shared with translations (set once, in the original): guest limits, fees, size, photos and gallery, amenities, stay rules, ΤΑΚΚ category, phone, e-mail, times, coordinates, registration number, taxes and children’s bands.
  • Translated: the name, descriptions and page content, the room’s Beds text, the property’s address, city, country, policies and registration type. A translation that has no text of its own yet shows the original’s.
  • Check-in instructions are written in each language’s version of the property, so each guest gets them in their language.
  • Room page links per language: on a room type’s Details tab, every translation gets its own Link to page (EL) field (one per language). A language without a translation yet says No EL translation yet with Translate it in the WordPress editor.
  • Rate plan names (and promotion and extra names) have an In other languages section under the name in their panel, after the first save. Names of other fees are translated in your multilingual plugin’s string translations (Polylang: Languages → Translations, group JetBookIn; WPML: String Translation, domain JetBookIn).

Deleting things safely

Every delete asks for confirmation first. Existing bookings are always kept.

What What happens Safer alternative
Unit Removed with its calendar connections (imports from platforms) and its manually closed dates. Bookings on it are kept. Deactivate it: nothing is lost and you can activate it again.
Rate plan Removed with all its prices. Rates that were based on it become independent rates without prices, so they stop being bookable until you price them. Set its Status to Inactive: guests no longer see it, prices stay.
Room type Moved to the WordPress trash together with all its units and rate plans; the units, prices and calendar connections are deleted. Restoring it from the trash brings back the page and its content, not the units and prices. Set Visibility to Draft to hide it from the website.
Property The Property screen has no delete button for a property. Move its room types to another property, or set them to Draft.

Important: before deleting a unit or room type that is connected to Booking.com or Airbnb, remove its calendar link on the platform too, or the platform keeps reading a feed that no longer exists.

Two examples

Three apartments in Crete

Villa Elia has three different apartments: a studio, a one-bedroom and a two-bedroom with a private pool, each registered with its own ΑΜΑ.

  • One property, Villa Elia, country Greece, registration type ΑΜΑ, check-in from 15:00 until 22:00, check-out until 11:00, coordinates filled in.
  • Taxes & fees: ΤΑΚΚ on, category Short-term rental (€8 / €2), paid in the online price; VAT off (private host).
  • Three room types with one unit each, renamed Studio, Elia One and Elia Pool, each unit with its own ΑΜΑ in the registration number field. The pool apartment is a detached house over 80 m², so its room type uses the ΤΑΚΚ category Short-term rental – detached house over 80 m².
  • Guests & fees: Studio 2 adults, no children; Elia One 2 adults + 2 children, max total 4; Elia Pool 4 adults + 2 children, max total 6, cleaning fee €60, Saturday arrivals and departures in summer handled with the rates grid.
  • Check-in: the property explains parking and the Wi-Fi; each unit’s panel holds its lockbox code; one video for the property.

A 20-room hotel

  • One property with VAT on (13%, prices include VAT), ΤΑΚΚ Hotel 3 stars, municipal levy 0.5% added on top.
  • Room types by what guests choose between: Double Garden View (8 units), Double Sea View (8 units), Family Room (3 units), Suite (1 unit). Units renamed to room numbers (101, 102…).
  • Double rooms: 2 guests included, max 3 adults, max 1 child, max total 3, extra adult €25; price for 1 adult 15% less.
  • Children: up to age 2 free, up to age 11 at 50% of the extra-adult fee.
  • One room out of order for a month: Deactivate that unit, then activate it again.

Questions

Should I make one room type with three units or three room types?

One room type with three units when the rooms are interchangeable (same size, view and price): guests just book “a double room” and you assign the room. Three room types when they differ and guests should see and choose each one.

Families cannot book my apartment. Why?

Check Max children on the room type’s Guests & fees tab. It is 0 for new room types, which means no children. Also check Max total guests.

Where do guests see the registration number?

On your website, in e-mails and in the calendar feeds Booking.com and Airbnb read, with the scheme in front (e.g. ΑΜΑ 00001234567). A unit’s own number replaces the property’s for that unit.

Can a room type belong to two properties?

No. Each room type belongs to one property and uses its taxes, children’s bands, times and policies.

I changed the check-in time but the policies text still says the old one.

The times guests see come from the Details tab; the policies text is your own. Remove the times from the text (the amber warning on the Policies tab shows the ones that differ), and update the translations too.

How do I take a room off sale for a few weeks?

For one unit, Deactivate it and activate it again later, or close its dates in Calendar → Room calendar. For a whole room type on specific dates, close it in Rates & Availability.

Do photos I remove from a gallery disappear from the Media library?

No. Removing a photo only takes it out of the gallery; the image stays in your Media library.
